Owner’s Representative Project Management
Owner’s Representative
What is an Owner’s Representative?
An Owner’s Representative (often called owner’s rep or client rep) is the yacht owner’s appointed project leader during a new build, refit, or major maintenance period. Their role is to convert the owner’s vision into a structured plan and then safeguard scope, budget, quality, and schedule. A strong representative combines technical knowledge, contractual discipline, and practical shipyard experience, while also ensuring compliance with class society and flag state requirements.
What We Actually Do as Owner’s Representatives
Day-to-Day Actions (Alphabetized)
-
Budget Tracking: Monitor variation costs, verify invoices, and prepare clear reports for the owner.
-
Change Management: Log, price, and approve change orders before work proceeds.
-
Communication: Send decision-ready summaries to the owner and clear instructions to the yard.
-
Coordination: Align subcontractors’ schedules, ensure trades do not overlap inefficiently, and keep crew informed about operational impacts.
-
Inspection & Quality Control: Walk the site daily, check workmanship against drawings, and order targeted NDT when risks appear.
-
Planning: Sequence tasks logically (painting before outfitting, HVAC before ceiling closures) to protect schedule.
-
Procurement Support: Collect supplier quotes, compare options, and flag long-lead items early.
-
Risk & Compliance Oversight: Track deliverables tied to SOLAS, MARPOL, and Load Line, and coordinate with class and flag authorities.
-
Trials & Handover: Organize dock and sea trials, capture punch lists, and deliver manuals, spares, and training packages.
-
Shipyard & Marina Quotations: As Owner’s Representative, we collect quotations from shipyards and marinas for haul-out and shore-based refit works, presenting clear comparisons to the owner. When engaged by the yard, we perform the same task on behalf of the shipyard.
-
Flexible Scope: Mako Yatçılık can be engaged for the entire refit project or for specific sections only. For example, we may oversee all works across the vessel, or focus exclusively on the engine room, electrical systems, or exterior paint, depending on the owner’s needs.
Distinction from Other Roles
-
Captain vs Owner’s Representative: The captain ensures safe operation; the rep translates operational needs into contract language.
-
Project Manager vs Owner’s Representative:
-
The yard’s project manager represents the shipyard, not the owner.
-
They directly manage subcontractors on behalf of the yard, organize quotes, and prepare schedules.
-
Payments remain under the owner or finance authority; the project manager only verifies invoices and reports.
-
In contrast, the Owner’s Representative stands between the owner and the shipyard/subcontractors, ensuring the owner’s interests are protected and that scope, quality, and compliance are enforced.
-
If Mako Yatçılık is engaged directly by the yacht owner, we act as Owner’s Representative, protecting the owner’s interests. If we are contracted by the shipyard to oversee a specific refit, we act as Project Manager, monitoring and coordinating the work on behalf of the yard.
-
-
Surveyor vs Owner’s Representative: A surveyor inspects at milestones; the rep manages daily progress.
-
Yard Project Manager vs Owner’s Representative: The yard manager delivers the yard’s contract; the rep enforces the owner’s standards and acceptance criteria.
Key Clarifications
-
Owner’s Rep and Subcontractors: We do not directly manage subcontractors as the yard does, but we coordinate and oversee their work to ensure it aligns with the owner’s standards.
-
Shipyard Engagement: If the shipyard hires us, we act as Project Manager, following the yard’s contract and managing subcontractors on its behalf.
-
Owner Engagement: If the owner hires us, we act as Owner’s Representative, protecting the owner’s interests and ensuring compliance, scope discipline, and quality.
-
Partial or Full Scope: We can be engaged for the entire project or only specific sections (e.g., engine room, electrical systems, exterior paint)
At Mako Yachting, we offer a wide range of services. As you can imagine, it is not possible to carry out all of these tasks entirely in-house. Any company claiming to do everything on its own is not being truthful—though of course, there may be rare exceptions.
Our approach is transparent: part of the services are delivered by our in-house team, while others are provided by trusted subcontractors and solution partners with whom we have long-standing collaborations. Regardless of who performs the work, we sign off on every service and take full responsibility.
This way, our clients benefit from both our expertise and the experience of our reliable partners, all under one roof.
